Overall job purpose

The Contracting Manager will be responsible for the supplier relationships and management throughout Indonesia, which includes obtaining competitive annual contracts, safety management, allotments etc. Moreover, the contracting manager is expected to follow industry trends and pro-actively source new suppliers.

Further, the contracting manager is responsible for the management of supplier related data into the company’s sales and reservations system. By doing this, the contracting manager is expected to supervise and lead a team of data entry team members.

You will ensure the accurate loading of contracts into the system. Reporting to the Sales Manager, you will be a key member to support all sales member.

Task & Responsibilities

  • Establish, develop and maintain an effective business relations with suppliers
  • Negotiate with supplier to get the most competitive rates and payment conditions
  • Perform and administer all supplier related information into the company’s sales and reservations systems.
  • Provide competitive analyses for the services offered by suppliers Support the sales team in producing the correct sales price.
  • Ensure that sales online are always up to date for clients, sales and all department concerned
  • Supervise sales support team to ensure all related data are available and updated in the system
  • Support other department with any task regarding suppliers (resolving complaint, etc…)
  • Inspecting properties and or service of suppliers (e.g.transport, excursion, etc…)
  • Keep product up date with all new development
  • Secure allotments from hotel partners
  • Lead regular contracting meetings
  • Assist the Sales Manager in the determination of pricing of various products and services
  • Pro-actively source new suppliers.
  • Assist the product development manager in designing new products and experiences

Knowledge, Skills and Experience

  • 3-5 years working experience in commercial aspect of tourism industry in Indonesia, mainly with contracting experience, either in Hotels (chain) or DMC’s.
  • Experience in management position.
  • Extensive networking in tourism industry in Indonesia.

Contract: Fulltime

Overall job purpose

Being the main contact person for a number of tour operators from Europe. You are responsible to handle all their questions, requests and bookings on a daily basis

Task & Responsibilities

  • Preparing (tailor-made) tour quotations based on requests
  • Sending these quotations to the contact person (s) at the account within 48hrs
  • On occasion handling the operation part  of a booking
  • Following up on waitlist with suppliers
  • Executing the booking and payment processes in collaboration with the Operation and Accounting Departments
  • Accurately checking and preparing client files
  • Handling and solving all complaints that arise from internal operation of tours in collaboration with the department manager, and communicating the solution to the contact person (s) at the account
  • Performing all task specifically  asked by Happy Trails management according to a mutually agreed time schedule

Knowledge, Skills and Experience

  • Minimal 2-3 years experiences in same position at inbound tour operator
  • Excellent English, both spoken and written
  • University graduate, preferable Tourism School
  • Excellent with Microsoft Office Program and Windows
  • Able to communicate with overseas clients

Responsible for supporting the Sales & Contracting team in various tasks.

Task & Responsibilities

  • Assisting the sales team in creating quotes
  • Assisting the sales team in creating itinerary
  • Assisting the contracting team to get prices & info from various suppliers
  • Data entry into reservation system and B2C platforms
  • Performing all task specifically asked by Happy Trails management according to a mutually agreed time schedule.

Knowledge, Skills and Experience

  • Previous experience in a travel agency or data entry is an advantage
  • Good English, both spoken and written
  • Fresh graduate are welcome to apply
  • Excellent with Microsoft Office Program including Excel
  • Good IT skills
  • Knowledge & curiosity of Indonesia is an advantage

Overall job purpose
Responsibilities for keeping Accounts receivables and Account payable  always updates, monitoring the payments including the overdue invoices from our business partners

Requirement :

  • Candidate must possess at least Diploma/Advanced/Higher/Graduate Diploma in Finance/Accountancy/Banking or equivalent.
  • Age 25-30 years, Single
  • Proficient in Microsoft Office and good computer skills
  • Basic accounting skills
  • Excellent communication and interpersonal skills
  • Meticulous, self-motivated, responsible and hardworking
  • Team player.
  • At least 1 Year(s) of working experience in the related field is required for this position.
  • Preferably Junior Executive specialized in Finance – General/Cost Accounting or equivalent.

Main Responsibilities :

  • Handle Accounts Receivable & Account Payable.
  • Taxes Filings & Reporting.
  • Update data and provide with accurate and timely reporting.
  • Prepare daily, weekly, monthly and quarterly reporting as required
  • Manage & update Petty Cash & Bank Book.
  • Preparation of bank reconciliations and follow up
  • Handling ad-hoc assignments as need
  • Creating & updating staff monthly timesheets.
  • Keeping track of staff leaves (Annual / Unpaid Leaves)
