FAQ: Supplier Self-Confirmation Process
A Complete Guide for Suppliers to Understand and Complete the Self-Confirmation Process Easily and Effectively, from Start to Finish
To confirm a reservation, click the ‘Confirm’ button in the email, then enter the reference code and any comments, if applicable. Complete the process by entering your name and the passcode 80228 before clicking ‘Submit’.
If you cannot confirm, click the ‘Unable to Confirm’ button in the email. Select whether the reservation is ‘Fully Booked’ or if you want to ‘Offer an Alternative’.
If the rooms are fully booked, select the ‘Fully Booked’ option, enter the reference code and any comments, then fill in your name and the passcode 80228 before submitting.
If you want to offer an alternative room, select the ‘Offer an Alternative’ option and enter the room type and net price per night. Add the reference code and any comments, then submit by entering your name and the passcode 80228.
After offering an alternative room, we ask that you hold the room for 3 to 5 business days to allow confirmation with the tour operator.
After submitting the alternative room details, you will receive a follow-up confirmation via email or a new reservation request if the alternative is approved.
If you have further questions, please contact our team using the contact details provided in the email or reservation form.
After providing confirmation, our system will automatically send an email containing your confirmation response as a transaction history. Please note that the “Confirm” and “Unable to Confirm” buttons can only be used once.
Invoices can be sent manually by replying to the second email (Room Request Response) if the room has been confirmed. Please ensure to CC the email to invoice.malaysia@happytrailsasia.com.
If the room availability suddenly changes or there is an input error in the confirmation from the hotel, please inform us by replying to the second email (Room Request Response). The matter will then be handled manually by the Happy Trails team via that email (not through Self Confirmation). Please note that the Self Confirmation system is only used once per reservation by our team.
